Position: Finance Coordinator

Location: Denpasar, Bali

Reports to: Operations Lead

Type of Employment: Full time-Contract

The Finance Coordinatoris responsible for supporting the organization’s financial operations, helping ensure the integrity and accuracy of financial reporting, and overseeing compliance with financial policies and regulations. This role supports budgeting, expenditure monitoring, and assists in the organization management funds. The Finance Coordinator will work closely with various departments to support financial planning and ensure funds are used in alignment with the organization’s mission.

Key Responsibilities

1. Budgeting and Financial Planning
  • Assist in the development of the annual budget process, collaborating with managers to align budget with organization priorities.
  • Monitor budgetary compliance and report variances, recommending adjustments as needed to maintain financial sustainability.
  • Assist in preparing regular financial forecasts and cash flow analyses to support decision-making.
2. Financial Reporting and Analysis
  • Assist in preparing accurate, timely financial statements, including monthly, quarterly, and annual reports for the management team.
  • Conduct financial analysis to identify needs and opportunities that align with organizational goals.
  • Ensure all financial reports comply with donor requirements, internal policies, and relevant regulations.
3. Grant Management and Compliance
  • Assist in grant budgeting, expenditure tracking, and reporting to ensure compliance with donor requirements.
  • Assist in regular communication with donors, providing financial updates and documentation as required.
  • Support the implementation of grant management tools and systems.
4. Internal Control and Audit
  • Assist in the maintenance of internal controls to safeguard assets and ensure accurate financial reporting.
  • Support external audits, assisting in the preparation of all necessary documentation.
  • Assist in regularly reviewing financial policies and procedures.
5. Payroll & Expense Management
  • Assist in payroll processes, ensuring timely and accurate payments and compliance with labor regulations.
  • Review expense reports, ensuring adherence to budget and financial policies.
  • Assist in managing vendor relationships, ensuring timely payment and compliance with procurement procedures.
6. Capacity Building and Team Collaboration
  • Assist in providing training to all staff on basic financial policies.
  • Collaborate with managers to align expenditures with strategic priorities.
  • Assist in fostering a culture of accountability and integrity within all financial functions.

  • Support the introduction of one new financial tool or software annually to improve reporting accuracy or speed.
  • Assist in reviewing and updating financial policies annually to ensure alignment with current standards.

  • Achieve a score of 85% or higher in annual finance-related internal audits, reflecting accountability and integrity.
  • Assist in regularly communicating financial updates and transparency reports to all staff, fostering a shared understanding of the organization’s financial health.

  • Achieve zero instances of non-compliance or audit discrepancies, ensuring financial integrity in all operations.
  • Maintain 98% accuracy in donor reporting, ensuring transparency and accountability.

Qualifications and Experience

  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
  • Minimum of 4-7 years of experience in financial management, ideally within the non-profit sector.
  • Skillful and thorough in conducting financial analysis, budgeting, reporting, and grant management, with familiarity with relevant financial software (Quickbook, Excel, MYOB, etc).
  • Proficient in English and Indonesian languages.
