MDPI seeks a Fair Trade Assistant to support MDPI in implementing, monitoring, and
administering Fair Trade USA practices, while empowering coastal communities. This role involves managing data, ensuring compliance with standards, and supporting market opportunities for sustainable fisheries.
The Fair Trade Assistant will work closely with communities, private sectors, and cross-departments to ensure smooth operations and transparency, handling on-site projects and coordinating with teams and partners to achieve MDPI’s fieldwork goals.
Role and Responsibility
1. Data Management and Documentation
- Maintain accurate, up-to-date records of all Fair Trade USA transactions, community participation, and product data.
- Ensure proper documentation of all Fair Trade USA activities, including procurement, distribution, and sales.
- Track compliance with Fair Trade USA standards and ensure documentation meets regulatory and organizational requirements.
- Prepare Fair Trade USA quarterly sales and purchase reports.
2. Community and Stakeholder Support
- Assist in coordinating and supporting Fair Trade program activities with local communities, ensuring understanding and active participation in meeting Fair Trade USA standards.
- Help manage premium invoicing for Fair Trade USA Certificate Holders.
- Act as a primary contact for local traders, community members, and other stakeholders, addressing Fair Trade USA inquiries and updates.
- Provide logistical support for Fair Trade USA training sessions, workshops, and meetings.
3. Inventory and Supply Chain Monitoring
- Manage and monitor Fair Trade program inventory to ensure consistent supply for market demand.
- Assist in tracking and reporting Fair Trade USA products from collection points to delivery, ensuring transparency and accountability.
- Coordinate with other MDPI departments to support timely and efficient operations.
4. Fair Trade USA Compliance
- Assist in Fair Trade USA audits by ensuring all implementations meet internal policies, standards, and local regulations.
- Regularly review Fair Trade USA processes to identify areas for improvement or potential non-compliance.
- Support periodic audits and evaluations to maintain Fair Trade USA certification requirements.
5. Reporting and Analysis
- Compile and submit regular reports on Fair Trade program activities, including sales, community participation, and compliance metrics.
- Track key performance indicators for the Fair Trade program and make data-driven recommendations for process improvements.
- Contribute to impact reports highlighting Fair Trade USA’s role in promoting sustainable livelihoods.
6. Continuous Improvement and Learning
- Stay updated on trends, standards, and best practices in the Fair Trade USA industry.
- Participate in relevant training and development opportunities to enhance skills and knowledge.
- Actively contribute ideas to improve Fair Trade USA practices within the organization.
7. Compliance with Organizational Reporting Requirements
- Prepare individual reports in line with responsibilities, including attendance, system documentation, activity reports, leave applications, reimbursements, financial reporting, and other tasks in a timely, accurate, and valid manner.
Requirements
- Bachelor’s degree in Business Administration, Economics, Social Sciences, or related fields.
- At least 1 year of experience in a similar position or with an NGO, or recent graduate.
- Excellent computer skills, especially in Microsoft applications (Word, Excel, PowerPoint, and Access).
- Fluent in Indonesian and capable to communicate in formal English.
- High standards in activity reporting, with accountability and precision.
- Detail-oriented, highly initiative-driven, and organized.
- Strong team player.
- Skilled in problem-solving and adaptable in various situations.
- Willing to travel to project sites across Indonesia and work overtime when required.
- Experience working with small or large-scale community groups.
- Indonesian nationality, preferably from Bali.
- Strong interest in developing small-scale fisheries communities.
